Lean is often seen as a set of tools to lift productivity and efficiency, but at its core it is much more than that. It is a philosophy and a mindset that can change the way an organisation works, influencing not just the bottom line but also the wellbeing, safety and retention of its people. Lean thinking builds a culture where continuous improvement is part of everyday work.

One of the fundamentals of Lean is its focus on Opportunities for Improvement (OFIs). These are the small changes that can lead to significant improvements in processes, safety, quality, engagement and overall performance. Lean encourages people at every level to think critically about their work and actively look for these opportunities. When every employee feels empowered to spot and make even the smallest changes, the combined impact can be huge. No improvement is too small to be worth pursuing, and every step forward adds to the bigger picture of where the organisation is heading.

To get the most out of Lean, make OFIs visible and accessible to everyone. A dedicated space, such as a toolbox or Daily Management System (DMS) board, is where OFIs are written up, tracked and celebrated. A visual space encourages people to share their ideas and keeps progress transparent. It builds accountability and makes sure good ideas don’t get lost in the day-to-day.

How to make OFIs work

  • Create a visual space. Set up a dedicated board (such as a DMS or toolbox board) to record and track OFIs.
  • Encourage daily contributions. Invite everyone to add their OFIs to the board regularly.
  • Schedule regular reviews. Hold short, consistent meetings to discuss and prioritise OFIs.
  • Celebrate small wins. Recognise even minor improvements to keep motivation and momentum up.
  • Follow through. Give someone responsibility for each OFI and track it to completion.
  • Keep it safe. Build open communication where people feel comfortable sharing ideas without fear of criticism.
